Brief Overview
MailS@fe is an email archiving product for Outlook. It enables users and companies to have a structured filing approach to their email data and overcomes the inherent filing problems associated with MS Outlook. In most cases, important business emails are stored or filed in a local environment (Users Inbox) which are hard to access and find especially by other people, should the need arise.
With MailS@fe users can index emails with up to six user-defined fields for improved categorization. This is in addition to all the header information i.e. From, To, CC, BCC, Date, Sent/Received, Subject, Attachment names.
Once indexed, the email is committed to the central SQL Database and can be removed from the local client machine or Mail Server, and is then available for viewing in its original e-mail format by all users who have access rights to it. Comprehensive searches can then be made of all emails irrespective of who sent or received them using the index field data, OCR’ed text of the email, or a combination of these.
Only one copy of an email can be archived meaning that the problem of duplicate emails and attachments is eliminated helping to reduce the size of the file store still further. All emails are archived with 128 bit encryption ensuring security with the knowledge that the original email cannot be changed or altered in any way.
By making sense of and having a structure to the email archive, there are benefits from a technical perspective as well as from the user’s point of view.
